Reservation Application Terms & Conditions

1. Reservation Application Process & Priority Placement

• Application Only: Submitting this form constitutes a Reservation Application and does not guarantee placement on the trip. Spaces are strictly limited and in high demand.
• Priority Placement: While open to all art enthusiasts, priority placement will be extended to MFA Visionaries and our most dedicated patrons.
• Notification Date: All applicants will be notified of their reservation status on or before August 18, 2026.

2. Payment Terms

• No Payment Due Today: No payment is collected upon submitting this application form.
• Payment Upon Confirmation: If your reservation application is accepted, full payment (base trip fee plus the mandatory $1,250 tax-deductible contribution) will be due upon receipt of your formal acceptance notification to confirm your spot.
• Pricing Rates (Per Person):
  • Single Occupancy: $4,960 base trip fee + $1,250 donation = $6,210 total (Includes 1 King Bed Standard Room)
  • Double Occupancy (1 King Bed): $3,240 base trip fee + $1,250 donation = $4,490 total per person
  • Double Occupancy (2 Queen Beds): $3,240 base trip fee + $50 room upgrade fee + $1,250 donation = $4,540 total per person ($100 total room surcharge; very limited availability)

3. Charitable Contribution
Every registration requires a $1,250 charitable contribution per participant payable to the Museum of Fine Arts, St. Petersburg. This donation directly supports the Museum’s exhibition and educational initiatives and is 100% tax-deductible to the extent allowed by law. The $1,250 donation is non-refundable once payment is remitted upon trip confirmation. A formal tax acknowledgment letter will be issued by the Museum upon payment confirmation. Please note: Previous donations, annual giving, or existing campaign pledges cannot be credited toward this trip's charitable contribution requirement.

4. Cancellation & Refund Policy
Once an accepted participant remits full payment to confirm their reservation, the following refund schedule applies to all written cancellation requests:

• Cancellations Received On or Before October 1, 2026:
  • Non-Refundable Costs: Due to strict hotel contract commitments during Miami Art Week, unrecoverable lodging costs will be withheld upon cancellation (exact amount to be determined by room/bed type).
  • Administrative Fee: A $250 administrative fee per person will be withheld.
  • Charitable Donation: The $1,250 tax-deductible contribution remains non-refundable.
  • Refund Credit: The remaining balance of your base trip fee will be refunded to your original payment method.
• Cancellations Received After October 1, 2026:
  • All payments become 100% non-refundable. No refunds or credits will be issued for cancellations after October 1, 2026.
• Transferability: Confirmed registrations may be transferred to another eligible patron prior to October 1, 2026, subject to Museum approval.
• Note: Trip cancellation and travel insurance are strongly recommended to protect your investment.

5. Inclusions & Exclusions

• Included: 4 nights lodging at a selected 4-star Miami Beach hotel; 3 hosted dinners and 2 hosted breakfasts or lunches; VIP access passes to Art Basel Miami Beach, Art Miami, CONTEXT, Untitled, and select satellite fairs; scheduled group ground transportation for mainland excursions; and private collection/curator-led tours.
• Excluded: Roundtrip airfare/transportation to and from Miami; airport transfers; overnight or daily hotel parking fees; meals not explicitly listed on the final itinerary; personal incidental hotel charges (minibar, room service, spa); and personal travel insurance.
