Once the trip is officially confirmed and your payment received, a portion of the payment becomes non-refundable based on non-recoverable prepaid museum and vendor costs. A detailed itinerary will be provided to confirmed participants at a later date.

Terms, Conditions & Requirements

Reservation Application Terms & Conditions

1. Reservation Application Process & Priority Placement

  • Application Only: Submitting this form constitutes a Reservation Application and does not guarantee placement on the trip. Spaces are strictly limited and in high demand.
  • Priority Placement: While open to all art enthusiasts, priority placement will be extended to MFA Visionaries and our most dedicated patrons.
  • Notification Date: All applicants will be notified of their reservation status by November 16.

2. Payment Terms

  • No Payment Due with Application: No payment is collected upon submitting this application form.
  • Payment Due Upon Confirmation: If your reservation application is accepted, full payment (base trip fee plus the $1,500 tax-deductible contribution per person) will be due upon receipt of your formal acceptance notification to confirm your spot.
  • Pricing Rates (Per Person):
    • Single Occupancy (1 guest in room): $12,250 base trip fee + $1,500 tax-deductible donation = $13,750 total per person.
    • Double Occupancy (2 guests share a room): $10,000 base trip fee + $1,500 tax-deductible donation = $11,500 total per person.

3. Charitable Contribution
Every registration requires a $1,500 charitable contribution per guest payable to the Museum of Fine Arts, St. Petersburg. This donation directly supports the Museum’s exhibition and educational initiatives and is 100% tax-deductible to the extent allowed by law. The $1,500 donation is non-refundable once payment is remitted upon trip confirmation. A formal tax acknowledgment letter will be issued by the Museum upon payment confirmation. Please note: Previous donations, annual giving, or existing campaign pledges cannot be credited toward this trip's charitable contribution requirement.

4. Cancellation & Refund Policy

Once an accepted guest remits full payment to confirm their reservation, the following refund schedule applies to all written cancellation requests:

Cancellations Received On or Before December 1, 2026:

  • Lodging & Operational Costs: Due to strict hotel contract commitments and non-refundable block deposits, unrecoverable lodging and vendor costs will be withheld upon cancellation (exact amount determined by room/bed type).

  • Administrative Fee: A $250 administrative fee per person will be withheld.

  • Charitable Donation: The $1,500 tax-deductible contribution remains non-refundable.

  • Refund Credit: The remaining eligible balance of your trip fee will be refunded to your original payment method.

Cancellations Received After December 1, 2026:

  • 100% Non-Refundable: Because hotel commitments, group transport, and exclusive VIP access are fully locked in and non-recoverable past this date, all payments become non-refundable. No refunds or credits will be issued for cancellations after December 1, 2026.

Transferability & Replacement Costs: Confirmed registrations may be transferred to another eligible patron prior to January 5, 2027, subject to Museum approval. If a participant cancels and a replacement cannot be secured by the Museum, any resulting financial shortfall, increased replacement room rates, or unrecoverable vendor commitments tied to that spot will be deducted from the canceling guest's paid funds.

Travel Insurance Recommendation: Because this is a specialized international art delegation subject to strict third-party hotel and vendor contracts, trip cancellation and comprehensive travel insurance are strongly recommended to protect your investment against unexpected personal emergencies or travel disruptions. Please note that the Museum does not provide travel insurance.

5. Physical Activity & Mobility Requirements

Because this international art delegation features rigorous, fast-paced itineraries, including extensive walking on uneven terrain at archaeological sites (such as Teotihuacán), navigating large, crowded art fair aisles, and standing for extended periods during private museum and gallery walkthroughs, participants must be in good general health and capable of independently navigating long distances (often 2–4 miles per day) over uneven cobblestones, stairs, and concrete floors without assistance. If you require mobility accommodations or assistive devices, please contact the Museum prior to submitting your application to discuss whether the itinerary can accommodate your needs.

6. Inclusions & Exclusions

  • Included:
    • 7 nights of luxury lodging at the Four Seasons Mexico City 5-star hotel.
